Change YW Classes

Post by mormican »

Our YW classes are not set up in LCR as our YW president would like them to be. We are currently operating with 2 classes: 12-14 and 15 - 18. However, LCR shows that we have a 12-13 and 14-18 class. Strangely, Tools shows that we have 3 classes: 12-13, 14-18, and 16-18. Is there a way for me to change the ages of the classes in LCR to 12-14 and 15-18? When I try, I get the options of 12, 14, 14-15, 14-16, 14-17. This is the path I've been using: Callings - Callings by Organization - scroll down to the YW classes (12-13 /14-18) - click on the pencil icon to edit - click on drop-down arrow under the "Manage Young Women" heading - select "Create new classes with different ages" - the options appear. My thought is that we are limited to these selections, but I would love it if someone can prove me wrong. This is causing issues for the RS president as she is trying to assign 14-year-old young women as ministering sisters as well, since they are listed in the 12-13 class. I was just called as ward clerk, which has been one of my most feared callings. So far, my fears have been confirmed

I think what you need to do is split the 14-18 class into 14 and 15-18. It's possible that function is under "add" a class.

Then merge the 14 into the 12-13.

Before making any changes to classes make sure you have a saved copy of both the young women leaders and the adult leaders for the classes as they currently exist for reference. This is to ensure you have the callings sustained dates for both the youth leaders and the adult leaders if any of them will continue in leader positions. If the leaders will change or move to another class then this is optional and the new sustained date will be used.

In the Young Women organization select the 'Callings' tab. The operation to first split the 14-18 class is to scroll down to the 'Young Women 14-18' class . Click the edit icon (pencil) next to the Young Women 14-18 title. In the 'Manage Young Women 14-18' drop-down list box select the "Create new classes with different ages" option. Then in the 'Young Women' drop-down list box select '14'. There will be a caution banner stating "This will remove young women class leaders from callings in this class. Would you like to continue?" followed by the 'Save' and 'Cancel' buttons. Click the 'Save' button.
Then ...

Note: The Young Women presidency members, including secretary, have the necessary permissions to make the edits. If they do not feel comfortable doing so then the ward clerk can make the changes. Make sure the calling and release procedures in the General Handbook have been followed before making the changes.

Leader and Clerk Resources (LCR) calling information and data is the more reliable source between LCR and Member Tools. When there is a difference, the usual issue is that Member Tools is not refreshing the data. When this happens Member Tools can be brought up to date by tapping the Refresh Data option found in the Settings menu near the bottom of the page. This is a more robust update of data than what happens with a sync. It pulls in a complete new data set that replaces and overwrites the old data. Just make sure the device is connected to a reliable WiFi connection, as apposed to the cell service provider data connection, before doing the Data Refresh.

There's also a chance that changing the classes will trigger a sync that will correct issues in Member Tools.
